Minutes:

Brief Technology Updates
It was reported that MPC may be filing Chapter 11. All of our orders with MPC are on hold, and we should know what will happen with those orders around the first of next week. As of now, warranty work on PCs will continue with parts coming from third party providers but some part might be required from MPC in which case we may not be able to complete a repair. Another impact of the filing is that our order for 20 computer screens for the Library A-wing remodel is also on hold. Three vendors have been invited to the campus for a presentation of their hardware and services for evaluation. Depending on their presentations and on what happens between now and then with MPC, we may switch vendors.

October 8, 2008 ITCH Core Minutes

Minutes:

Consolidation of ITCH Workgroups:

Aaron reported that he researched how the ITCH teams were created. John Hurley's concern is that who ever created the teams may have interest in such a significant change. Per Aaron's research it appears the team was self identified& created. Therefore, consolidating to a single workgroup does not appear to raise a problem.

Brief Team Updates:

Susan reported on the progress on Google Mini and curriculum catalog. Tony provided a brief update on current projects within Administrative Computing.

ITCH Advancement of Technology Proposal

The Advancement of Technology fund is awarded on an annual on-time basis to projects whose goal is to enhance the technology landscape at Evergreen. The criteria used to evaluate proposed projects are as follows;

Innovation – The project proposal shows a new and creative use of technology; experimental in nature

One-time costs – The proposal is not a permanent staff position; instead, cost is one time, and the proposal addresses any on-going costs

Return on investment – The proposal identifies reduction of risk, creation of efficiencies, and/or increased program development

Wide-spread benefit – the proposal has a clearly identified benefit to a large spectrum of College population and surrounding community

The total annual amount available is $78,000 and can be split amongst competing proposals.

ITCH Core Minutes for 8-13-08

Minutes:

Announcements

The spending freeze will not affect equipment purchases of less than $5,000; as long as it’s not a computer it can be purchased.

Advancement of Technology Funds
We started with $79,000 and have spent over $5,000 so far. Any money not spent should roll to next year; account has not been funded yet for 08-09. We have until July 2009 to figure out what we want to spend the rest of the money on.

Quick status of Advancement of Technology Projects:

Internet Bandwidth Experiment – this was turned on April 1st and things have gotten more responsive; the funds for this have been transferred by Marshall.

Google Mini – this is an on-campus search tool that will give us more search control and easier access. It has been purchased but not yet implemented. The newly hired Web employee will probably do the implementation.

Jabber IM – this was approved, however, since the student that was implementing this left campus, the project has fallen apart. Meta Search / Open URL tool for Library – the P.O. for the subscription has gone out.

One-Time Faculty Institute Enhancement – so far we have held one summer institute which was well received, and there are nine more scheduled.

Discussion of Academic ITCH
The Core received a proposal to merge the Academic ITCH with the Core in order to bring clearer focus. The proposal was amended to include adding the Admin ITCH thus having one ITCH. The Core would charge work groups to report back on issues. Interest in attending ITCH meetings picks up around funding and individual projects. Meeting once a month would facilitate all our issues – only time more frequent meetings might be needed would be around budgets. Individual purpose of the separate ITCH groups has gone away because we’ve evolved and not enough people in attendance. One benefit is that the Core could become a single place where people know to go around technology issues. Each meeting could have a theme and people can bring up other issues too. Would people feel out of place at the meetings? Lab management group may also be set up. Aaron will draft up an email regarding the proposed single ITCH group and request comments. Further discussion and a decision if there is consensus could happen at the next Core meeting.

Action Items:

Aaron will draft up an email regarding the proposed single ITCH group (with the formation of a lab coordinators group) and request comments. Further discussion and a decision if there is consensus could happen at the next Core meeting.

Erik will assemble small group to develop plan for look at next step opportunities for e-mail communications for the college and report back a proposed framework for the group.

Minutes:

Facilitation/coordination for 2008-09 - Future of Academic ITCH (Rip)
Proposal to merge the Academic ITCH with the Core, and to use the time to create a Lab Coordinators meeting to regularly checkin on lab management issues, hardware, software, uses, upgrades, etc.. Will need to determine a facilitator (Greg Stewart, Isaac Overcast?) Meetings can be less structured around standard governance times. Larger scale Academic issues would move to the Core. We will bring to the attention of individuals who have a vested interest in these topics on campus.

Copyright (Joe).
Hot topic, needs to be sent to the Core for discussion. We need to have a campus-wide discussion around how we're managing copyright issues in regard to technology. Rip to forward to the Core.

Network Report (Joe)
Could be throttled to 30MB/s and fit the needs that are being met currently given the way the network is being managed. Network Services will be looking at setting up standard network speeds for fall and will be financing it internally.

Demo Resolution Test (Peter)
Peter will update this part since I've been catching up..

Peter to fill in section of his in minutes

Rip will talk to Greg and Isaac about facilitation

Rip will forward copyright to Core

Rip will forward Academic ITCH future to the Core

Portal Workgroup Meeting Minutes

The portals workgroup met on May 2 to continue the discussion around how the portal concept might apply to Evergreen. The group discussed the charge and the goals of the Portals Workgroup. There was consensus that there seem to be two different needs and goals that really have not worked well within the current group configuration. For more, please refer to the meeting minutes.

Portal Workgroup 5-2-08

Minutes:
The group discussed the charge and the goals of the Portals Workgroup. There was consensus that there seem to be two different needs and goals that really have not worked well within the current group configuration. The first group, made up primarily of Advancement, has constituency needs that fall outside of the scope of work of C&C and have identified several third party vendors that would meet the Alumni On-Line Community needs. The second group, made up of mostly internal offices, have been unable to find third party software that works well for their purposes and rely on C&C to develop pathways using My.Evergreen. Due to the conflict in the nature of the work and needs the following recommendations were made.

Action Items:

The Portals Workgroup as it is currently configured (and charged by Administrative ITCH) should be disbanded.

A new workgroup should be charged from Core ITCH that would 1) define guidelines for My.Evergreen and 2) provide strategic direction for My.Evergreen for the future.

Advancement will chart a parallel track by continuing to engage in an internal strategic IT process and, once that has been outlined, engage members of Admissions to review current third party software demonstrations. Sharon Harrison and Susan Bustetter will work with Admissions through this process.
